Signatures in Shortwave

Shortwave syncs your email signature from Gmail. Here's how to set it up and troubleshoot common issues.

Setting up your signature

Shortwave uses the default signature from your Gmail account. To set one up:

  1. Open Gmail
  2. Go to Settings (gear icon) > See all settings > General
  3. Scroll to the Signature section
  4. Create or edit your signature
  5. Under Signature defaults, set your signature for both:
    • "For new emails use" — select your signature
    • "On reply/forward use" — select your signature
  6. Click Save Changes at the bottom

Shortwave will pick up the updated signature within a few minutes.

Common issues

My signature isn't showing up

The most common cause is that the signature exists in Gmail but is not set as the default. Follow the steps above and make sure both "For new emails use" and "On reply/forward use" are set to your signature (not "No signature").

My signature looks collapsed or hidden

When composing an email in Shortwave, your signature is automatically collapsed to save space. Click the "..." button at the bottom of the compose window to expand it. The full signature is always included when you send the email, even when collapsed.

My logo or images aren't displaying

Signature images must be hosted on a publicly accessible URL. Images hosted on internal company servers, Google Drive with restricted sharing, or some third-party signature tools may not render correctly in all email clients.

For best results:

  • Use images hosted on a public URL (e.g., your company website)
  • Keep image files under 100KB
  • Use PNG or JPG formats

How do I remove "Sent with Shortwave"?

The "Sent with Shortwave" tagline at the bottom of emails can be removed by navigating to Settings > Compose > Sent with Shortwave and toggling off "Add 'Sent with Shortwave' to emails you send".
